Overview

As part of the college’s mission to support excellence and innovation in teaching, learning, and scholarly and creative work, CMDI provides the community with robust and reliable administrative and staff technology. The college strives to make these technologies accessible and inclusive for all members of the CMDI community.ÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌýÌý

This service facilitates technology acquisitions for staff members within the scope of their job responsibilities and the college's technology budget. Other relevant departments or administrative units generally handle responsibilities outside of this scope.

The Staff Technology purchasing program focuses on the procurement, management, and inventory of all technology staff within the College of Media, Communication, and Information. The service offerings are user-focused to ensure an equitable process that provides secure technology to college staff. The Technology Experience Team does not handle all aspects of this Program. Still, it facilitates and collaborates with university entities that assist in the process.

Staff Technology Purchasing Process Overview

  • ³§³Ü±è±ð°ù±¹¾±²õ´Ç°ù:ÌýComplete the CMDIÌýStaff Computer Purchasing formÌýon the CMDI equipment website.
  • Tech Experience Team:ÌýReceives form into the ServiceNow system and establishes the communication chain.
  • The CMDI Financial team orders technology based on the form response and the established technology package. These packages were developed with recommendations from DDS and the OIT computing team.
  • ³§³Ü±è±ð°ù±¹¾±²õ´Ç°ù:ÌýDesignated as the receiving party for the technology and will receive shipping information from the finance team through the ServiceNow ticket.
  • Supervisor: Please submit a service ticket to DDS so they can contact the employee about the setup process.
  • CMDI Staff: Please complete the "CMDI Inventory" form sent through the ticketing system.

Staff Technology Inventory Overview

  • The CMDI Tech Experience Team manages the inventory and refresh schedule for all CMDI Staff Technology within the SCPP.
  • The CMDI Tech Experience Team will document the information submitted in the inventory form.
  • According to the suggested four-year refresh cycle, the CMDI Tech Experience Team will contact supervisors at the beginning of the fiscal year to determine which staff members are eligible for new computers.
  • The supervisor is responsible for collaborating with their staff to report and complete the CMDIs, which initiate the purchasing process.

Staff Exiting Process for Technology Overview

  • When a CMDI staff member leaves the college, the supervisor must complete the CMDI Staff Technology Exit process.
  • Based on the responses in this form, the Tech Experience Team will offer additional guidance on using the technology available to existing staff members.
  • This process consists of, but is not limited to:
    • Collaborating with DDS to arrange for the disposal of the device.
    • Return the device to the Tech Experience Team for inclusion in the CMDI Staff and Faculty loaner pool.
    • The device is to be held for the new hire of the backfilled position.
  • The key factors are the machine's age and purchase date, which are integral to the Tech Experience Team's inventory and refresh cycle information.

Out of Scope

The CMDI Staff Technology Purchase Program offers college staff a streamlined and secure process for

technology purchase. The Program does not provide for device management, hardware repair, or end-user

technical support.

Customer Responsibility:

CMDI customers should follow the outlined process and contact the CMDI Tech Experience Team if they have any questions.

User Eligibility:

The Program is a resource for current and new CMDI staff, as defined above.

Service Availability:

This service is available Monday through Friday from 8:30 am to 4:30 pm.
